Clear terms before supply or installation

Privacy & Warranty Policy

At Cyberia, we know that choosing an HVAC or ventilation system is not only about the equipment price. You should know what the product warranty covers, how installation workmanship is handled, what happens if a problem appears later, and how we use and protect your project information.

01Each product has its own warranty

Warranty duration and coverage vary by product, manufacturer and supplier.

02Installation warranty is agreed before work

Its duration, scope and conditions are defined in the relevant quotation or project agreement.

03We diagnose the cause first

We determine whether the issue relates to equipment, installation, operation, maintenance or an external factor.

04Project data is used for necessary purposes

We use customer information to provide and support the service and do not sell personal data.

01

Product and equipment warranty

Products and equipment supplied by Cyberia do not all carry one standard warranty period. We work with different equipment types, brands and components, and each product can have its own warranty conditions. The actual warranty period and coverage for a specific item are those stated in the product documentation, quotation, invoice, warranty card or manufacturer terms.

  • Each part or unit may have a different warranty period depending on the manufacturer, supplier and product type.
  • Coverage can differ between components within the same system, such as the motor, fan assembly, unit and electrical parts.
  • Some manufacturer warranties cover a defective part but do not automatically include removal, reinstallation, transport or consumables.
  • If a manufacturer requires registration, maintenance or specific operating conditions to keep a warranty valid, we explain those requirements when they apply.
In practical terms: Cyberia does not publish one blanket warranty period for every product. We clarify the warranty for the specific equipment you are purchasing before agreement.
02

Installation workmanship warranty

When Cyberia performs the installation, the installation workmanship warranty is separate from the product warranty. Its duration and scope are not identical for every project. They depend on the system type, the work included in Cyberia's scope, site conditions, equipment used, existing installations and the responsibilities of other parties involved in the project.

Before the project is approved, the applicable installation warranty is clarified in the quotation, agreement or related project documents so the customer knows what falls under Cyberia's responsibility and what belongs to a manufacturer's warranty or another contractor's scope.

Product warranty

Applies to the equipment or part under the relevant manufacturer or supplier terms.

Installation warranty

Applies to workmanship performed by Cyberia within the agreed project scope.

03

How do we determine responsibility for a fault?

A problem appearing in an HVAC or ventilation system does not automatically mean that either the equipment or the installation is defective. We diagnose the technical cause first. An issue may relate to the equipment, workmanship, operation, maintenance, electrical supply, another system component, or changes made by a third party after handover.

If the problem is directly caused by Cyberia's work and falls within the agreed installation warranty, it is handled under that warranty. If it is a covered product defect, the manufacturer's or supplier's warranty process applies. If the condition is outside warranty, we explain the reason, recommended solution and any proposed cost before carrying out additional paid work.

04

Conditions and factors that may affect warranty coverage

HVAC and ventilation systems operate as connected systems, so failures may arise from factors unrelated to a defect in the supplied product or Cyberia's workmanship. Each case is assessed technically. Depending on the product or project terms, factors that may affect warranty eligibility include:

Using equipment outside the purpose or conditions for which it was selected. Opening, modifying or repairing equipment by another party. Not carrying out required maintenance when maintenance is a warranty condition. Grease, dust or contaminant buildup caused by operating conditions or lack of cleaning. Blocked filters, ducts, grilles, intakes or make-up air paths. Electrical supply problems or voltage conditions outside Cyberia's work scope. Mechanical damage, impact, water, fire or other external causes. Corrosion, chemicals or environmental conditions for which the product was not specified. Later changes to ductwork, grilles, dampers, equipment or system loads. Building or operational changes made after handover that alter system performance.

These factors are not treated as automatic exclusions without inspection. We first identify the cause and then explain the appropriate warranty or service path.

When Cyberia supplies equipment only

For supply-only orders, product warranty remains subject to the relevant product or manufacturer terms. Cyberia cannot warrant installation workmanship that it did not perform or supervise. If a fault is found to result from unsuitable installation or a third-party modification, the case is assessed according to the manufacturer's conditions and the technical cause.

Filters, belts and consumable items

Some HVAC and ventilation components are operating or consumable items that require periodic replacement, including certain filters, belts and similar items. They are not necessarily treated like major equipment components for warranty purposes. Treatment depends on the product, cause of failure, manufacturer terms, operating time and maintenance schedule.

05

Performance, extraction strength, noise and airflow

Customer concerns are not limited to equipment failure. You may need to know whether extraction will be strong enough, whether the system will be quiet, or whether air will reach distant points in the duct network. These outcomes depend on the entire system: duct size and route, elbows, static pressure, filters, dampers, make-up air, building use, existing systems and operating loads.

If a project requires a defined performance target—such as airflow, pressure, acoustic criterion or operating point—it should be included in the approved project scope or technical specification so both parties have a clear acceptance benchmark.

Hidden conditions discovered during work

In existing buildings, concealed conditions can appear only after ceilings are opened, ductwork is inspected or systems are operated. Examples include old services, damaged concealed components, routes that differ from available drawings, structural obstructions or incomplete previous work. If a newly discovered condition changes the scope, cost or expected result, we explain it before proceeding with additional work outside the original agreement.

Site protection and changes after approval

We take the nature of the site into account during installation. Where work requires ceiling access, drilling, cutting, removal of existing components, lifting equipment or temporary system shutdowns, the quotation or project discussion should define what is included in Cyberia's scope and what requires preparation or coordination by the customer or another contractor.

If the customer requests changes to equipment, design, routes, quantities or work scope after approval, the effect on cost, programme, performance and warranty is reviewed before implementation. New work is not considered part of the original agreement unless it is approved.

06

Warranty claims and after-sales support

If a problem appears after handover, contact us with the information available. We may ask for the invoice or project reference, equipment type or model, serial number where relevant, a description of the issue, photos or video, the date the problem appeared and information about any maintenance or modification carried out after installation.

  1. Report received: we collect the key information needed to classify the case.
  2. Diagnosis: this may be possible remotely or may require an on-site technical visit.
  3. Coverage decision: we determine whether the case falls under product warranty, installation warranty or is outside coverage.
  4. Resolution: covered cases are handled under the applicable warranty; for non-covered work, any proposed cost is explained before work begins.

Is every inspection visit free?

Not necessarily. It depends on the reported issue, its cause and the warranty terms for the particular project. If the cause is outside warranty or linked to external changes or work by another party, inspection, service or material charges may apply. We do not proceed with additional paid work without explaining it to the customer.

What about spare-parts availability?

We aim to support customers with parts for products we supply, but availability and lead time can depend on the manufacturer, model, equipment age, stock and shipping. We therefore do not promise an unverified replacement date before checking part availability.

07

Customer information and privacy

When you contact Cyberia, request a quotation or arrange a technical visit, you may provide information needed to understand and deliver the service. This can include your name, telephone number, email address, company name, project location, facility type, requested service, drawings, dimensions, photographs, videos and project-related communications.

Why do we use this information?

  • To answer enquiries and prepare quotations.
  • To assess project requirements and arrange visits or work.
  • To supply or install equipment and provide technical support and maintenance.
  • To manage warranties and after-sales service.
  • To maintain transaction, project, accounting or legally required records.
  • To improve the website and service and identify technical problems.

Do we sell customer data?

No. Cyberia does not sell or trade customers' personal data. We may share the minimum information necessary where it is required to provide the service—for example with a manufacturer or supplier handling a warranty or spare part, a delivery provider, a technical service provider, or a competent authority when disclosure is legally required.

Drawings, photos and project information

Drawings, dimensions, photographs and technical information sent by the customer are treated as project-related information. They may be accessed by employees, technicians or suppliers who need them for pricing, design, procurement or execution. Sending such material to Cyberia does not by itself give us permission to publish it publicly.

Information security and retention

We take reasonable measures to protect information against unauthorised access, use or disclosure. We retain information for as long as it is reasonably required to serve the customer, support warranty and maintenance, and meet relevant accounting or legal obligations. No electronic method can be guaranteed to be 100% secure, so we aim to limit collection and use to information reasonably needed for business purposes.

Updating or correcting your information

You can contact us if your information is inaccurate or needs updating. Requests relating to deletion or objection are handled according to the nature of the information, the purpose for which it was collected and any legal or operational requirement to retain it.

08

Before approving a project with Cyberia

If you have a concern, we prefer that it is raised before the quotation is approved so it can be addressed clearly in the technical and commercial discussion. Typical points you may want to confirm include:

Product warranty periodMotor or fan warrantyInstallation warrantyWarranty visit chargesSpare partsNoise levelExtraction strengthAirflowPower consumptionRoutine maintenanceDuctworkElectrical workCeiling or wall accessProject durationExcluded worksExisting-system responsibility

We will explain what can be committed to, what requires an additional specification or condition, and what falls outside the proposed work scope so both parties understand the agreement before execution.

09

Which document governs when a project has specific terms?

This page explains Cyberia's general approach, but it cannot cover every product, project or technical situation. Therefore, the specific terms stated in the quotation, contract, purchase order, invoice, product warranty card or approved technical project document govern the warranty duration, work scope and conditions for the relevant product or project.

This policy is not intended to limit any mandatory customer rights under applicable laws and regulations in the State of Kuwait.
